Scope of Position:
In this role, you will provide administrative support to the Division Vice President and Director, Commercial Operations, Corning Pharmaceutical Technologies along with the Commercial staff in a professional, efficient, and quality manner.

Day to Day Responsibilities:
• Provide administrative support including coordinating meetings and maintaining calendar, prepare and review expense reports, answering calls, sorting mail, and managing e-mail.
• Coordinate, organize, schedule, and attend (if required) staff meetings. Assist Division VP to prepare and facilitate staff meetings.
• Coordinate logistics for internal/external customer visits
• Contacts are frequent within and outside the organization. External contacts involve obtaining or providing information on matters of critical importance to the organization and of a highly sensitive nature.
• Collect and prepare information for use in discussions/meetings of executive staff both internal and external.
• Coordinate travel arrangements prepare itinerary and agendas; acquire travel documents (i.e. visas, passports, invite letters) as needed and dedicatedly stay ahead of travel changes.
• Schedule individual and group meetings including room booking and catering if needed.
• Provide technical support for conference calls and/or arrange appropriate media support as needed
• Partner with the finance team to monitor department spending
• Participate on CPT admin team (coordinate division events, work on continual improvement projects).

Travel Requirements:
• None.

Hours of work/work schedule/flex-time:
• M-F, 8:00 am-5:00 pm.
• Willing to work overtime if situation dictates.

Required Education:
• High school diploma or GED.

Required Years and Area of Experience:
• Minimum 3+ years of experience in an Administrative Assistant role or comparable administrative duties.

Desired Experience / Qualifications / Skills:
• Associates degree.
• Well networked, leads by example, looks for new ideas and bases decisions on the business needs.
• Ability to quickly learn company operations, policies and procedures and businesses.

Required Skills:
• Strong decision making/problem solving skills and consistent judgment while maintaining professional composure.
• Stays current on trends and is willing to adapt to new technology and processes.
• Strong computer/technology skills, proficient in Microsoft Word, Excel, and PowerPoint.

Soft Skills:
• Ability to communicate effectively, both verbally and written, with all levels of the corporation.
• Strong organizational and administrative skills, attention to detail, focus on error-free work and follow up to ensure tasks are complete.
• Highly motivated, self-starter, detail oriented and anticipates division VP’s needs.
• Exercises high level of discretion, integrity, and confidentiality.
• Ability to prioritize and handle multiple tasks simultaneously, flexible, works efficiently and effectively in a dynamic high-pressure and fast paced environment with minimal supervision.
